What will you do?
The Billing & Operations Executive will serve the Revenue Assurance function, ensuring that all billable services delivered by consultants are accurately validated, approved, and converted into invoice ready revenue.
The role safeguards billing integrity by reviewing timesheets against contract terms, monitoring purchase orders, maintaining accurate deployment and rate records, and preparing complete billing documentation for Finance within invoicing timelines. It bridges Operations and Finance to prevent revenue leakage, minimize disputes, and ensure timely invoicing.
The position also provides visibility on billability and utilization risks, strengthening revenue governance and ensuring earned revenue is captured accurately and on time.
1. Timesheet Validation and Billing Control
Review consultant timesheets for completeness and accuracy against contract terms and billing models.
Verify billable days, proration, leave, holidays and overtime before billing cutoff.
Follow up on discrepancies and track client approvals to ensure no missed billable days.
2. Billing Readiness and Revenue Assurance
Conduct weekly billing readiness checks prior to month end.
Prepare complete billing packs for Finance, including approved timesheets, billing summaries, rate verification, proration and PO validation.
Ensure invoices can be issued without rework or clarification.
3. Purchase Order Monitoring
Track PO balances and expiry dates.
Alert Account Managers on renewal or top up requirements to prevent invoice rejection.
4. Deployment and Contract Data Management
Maintain accurate records of deployment details, billing rates, contract duration, approving managers and work arrangements.
Ensure alignment across Operations, Finance and Account Management.
5. Billability and Utilization Monitoring
Track non billable days and bench periods.
Highlight anomalies and escalate revenue risks early to the BU Lead and Account Managers.
6. Contract and Rate Governance Support
Validate billing against agreed contract terms and rate cards.
Track renewals and change requests to ensure billing compliance.
7. Reporting and Operational Insights
Prepare monthly billability summaries, approval trackers and revenue readiness reports.
Provide structured insights to support revenue planning and QBR preparation.
8. Process Improvement and Automation
Enhance billing trackers and workflows.
Leverage Excel tools to improve accuracy, efficiency and visibility across the billing cycle.
Domain Skills
1. Billing and Revenue Operations Management
Ability to validate timesheets, calculate billable days, proration and overtime accurately.
Strong understanding of billing cycles and invoice readiness processes.
2. Contract Interpretation and Commercial Compliance
Ability to interpret contract terms, billing models, rate cards and change requests.
Ensure billing aligns with agreed commercial terms and client requirements.
3. Purchase Order and Revenue Control
Competency in monitoring PO balances, expiry dates and renewal requirements.
Ability to prevent revenue blockage due to PO insufficiency.
4. Data Management and Operational Governance
Maintain accurate deployment records, billing rates, approval workflows and contract data.
Ensure consistency and audit defensibility across systems and trackers.
5. Utilisation and Billability Analysis
Ability to track non billable days, bench periods and utilisation trends.
Identify revenue risks and anomalies using structured data review.
6. Financial and Numerical Accuracy
Strong numerical aptitude with high attention to detail.
Ability to perform rate verification, proration calculations and billing reconciliation.
7. Excel and Operational Reporting
Proficiency in Excel including lookups, pivot tables, data validation and basic automation.
Ability to generate structured billing and revenue readiness reports.
What are we looking for?
Diploma in Business Administration, Accounting, Finance, Operations Management, or related discipline.
Good working knowledge of Microsoft Excel.
Min 3 years of experience in operations, PMO, billing coordination, staffing coordination, service delivery support, or similar operational roles.
Experience handling timesheets, billing validation, invoicing preparation, or revenue related processes.
Experience working with multiple stakeholders such as Account Managers, Finance, HR, or client representatives.
Experience in manpower outsourcing, IT services, consulting, or resource augmentation environment.
Exposure to contract terms, rate cards, purchase order management, and commercial compliance processes.
Experience preparing operational or revenue reports using Excel, including lookups and pivot tables.
